Key takeaways

  • Separate fixture quantities from the number of packs being ordered.
  • List unresolved specifications before asking for a final quote.
  • Keep model, location, and warranty records for future maintenance.

A clear bulk-order request reduces the back-and-forth needed to understand your project. It also creates a useful record for the people who receive, install, and maintain the lighting. Use the following checklist from the first quote request through handover.

Build a fixture schedule

Create one line for each exact product and variant. Include the product link or SKU, intended area, required fixture quantity, pack size, and pack quantity. Add accessories on their own lines rather than assuming they are supplied with the fixture.

Field What to record
Product Exact model, SKU, variant, and product link.
Quantity Fixtures required, units per pack, and packs requested.
Compatibility Confirmed input, mounting, controls, and outstanding questions.
Delivery Destination, receiving contact, site access, and requested timing.
Project phase Which items belong to each delivery or installation stage.

Make the quote assumptions visible

State whether you are requesting a firm quantity or comparing alternatives. If you want two product options quoted, label them as alternatives so they are not accidentally combined into one order. Identify the person who will approve model substitutions.

Ask the written quote to clarify included items, shipping, taxes, availability, and applicable terms. A requested arrival date is a project requirement, not a confirmed delivery promise. Keep the final accepted version of the quote with your fixture schedule.

Plan receiving and installation handover

Before delivery, decide who will compare the shipment with the order and where the goods will be stored. At receipt, record quantities and visible damage, keep the packaging information, and raise discrepancies through the seller’s stated process. Avoid committing the installation team to assumptions that have not been confirmed.

Provide installers with the current model documentation and the approved fixture schedule. Electrical work, mounting suitability, and commissioning should follow the manufacturer’s instructions and be handled by appropriately qualified personnel.

Keep a maintenance record from day one

Give installed fixtures a location reference that matches your plan. Retain purchase records, model and serial information where available, selected settings, control details, and the relevant warranty documents. Record commissioning dates and any substitutions made during installation.

For routine observations, log location, date, and the symptom reported—for example, an intermittent light or an unexpected control response. Let the responsible maintenance professional determine the inspection and remedy. Use the manufacturer’s maintenance instructions rather than applying one cleaning or replacement procedure to every model.

Common questions

Should I include spare fixtures?

Discuss spare requirements with the facilities team and record any agreed allowance separately. The appropriate quantity depends on the project and maintenance plan.

Can I request a quote before choosing every model?

Yes—identify what is already selected and what still needs discussion. Our warehouse project brief and specification checklist can help you organize those questions.
